1. Who we are
TradeSage is a software platform designed to help tradespeople, contractors and businesses manage job information, estimates, quotes, projects, suppliers and invoicing.
This policy applies to tradesage.com.au, the TradeSage platform, and our associated mobile applications and services.
2. Information we collect
The information we collect depends on the features you use and the information you choose to provide. It may include:
- Account information: name, business name, email address, phone number, login credentials and account preferences.
- Customer and business records: customer contact details, job addresses, project notes, quote and invoice details, payment status, supplier information and communications you enter into the platform.
- Job-site content: photographs, annotations, measurements, voice input, dictated notes, documents and other files you choose to upload or create.
- Transactions and subscriptions: plan, subscription and billing status. Payment card details may be handled by a payment service provider rather than stored by TradeSage; confirm this reflects your actual payment setup.
- Device and usage information: device type, operating system, app version, diagnostic logs, feature usage, IP address and security events, where collected.
- Support communications: information you provide when contacting us for help or making a complaint.
- Location information: location data only if a feature requests it, you grant permission, and the app actually collects it.
Please avoid entering sensitive personal information unless it is necessary for your use of the service and the relevant feature is appropriate for it.
3. How we use information
We may use information to:
- Create and manage accounts and authenticate users.
- Provide job management, estimating, quoting, project, supplier and invoicing features.
- Save, synchronise and display information across supported devices.
- Process requests for AI-assisted summaries, estimates, scopes of work or other content you request.
- Send service messages, security notices and support responses.
- Manage subscriptions, prevent fraud, investigate misuse and maintain service reliability.
- Diagnose errors, improve usability and develop the platform.
- Meet applicable legal obligations and protect our rights, users and services.
We do not use personal information for purposes materially different from those described here without providing any notice or obtaining consent where required by law.
4. Voice input, photos and AI features
Some TradeSage features may let you dictate notes, upload job-site photos, annotate images or request AI-generated assistance. When you use these features:
- Your voice input may be processed to convert speech into text. Whether audio is retained depends on the feature and the services used.
- Photos, measurements, notes and documents you submit may be processed to provide the feature you requested.
- Relevant text, images or other content may be sent to third-party AI or speech service providers when necessary to fulfil your request.
- AI-generated estimates, quantities, descriptions and recommendations may be incomplete or inaccurate. Review them before relying on them, issuing a quote or making a business decision.
We will not claim that a provider does not retain or use submitted data for model training unless we have verified the applicable provider terms and account settings. Check the privacy terms of any AI, transcription or hosting providers integrated into your deployment.
Microphone, camera, photo-library or location access should be requested only when needed for a feature. You can manage app permissions through your device settings; disabling a permission may limit the associated feature.
6. Overseas processing
TradeSage and its service providers may process or store information in Australia or other countries, depending on where our infrastructure and providers operate. Those countries may have privacy laws different from the laws where you live.
Before publishing, identify the countries in which your actual hosting, AI, analytics, messaging and other relevant providers process personal information, where reasonably practicable. We take steps appropriate to the circumstances to manage disclosures and protect information.
7. Storage and security
We use reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse, alteration or disclosure. Measures may include access controls, authentication, encryption where supported, monitoring and backups.
No online service or method of storage can be guaranteed to be completely secure. You are responsible for keeping your login details confidential and for using appropriate device security.
8. Retention and deletion
We retain information for as long as reasonably necessary to provide the service, maintain business records, resolve disputes, enforce agreements and meet legal obligations. Retention periods vary depending on the type of information and its purpose.
You may request account closure or deletion of personal information by contacting us. Some information may need to be retained for legal, security, accounting or legitimate operational reasons. Information in backups may remain for a limited period before being overwritten, subject to our actual retention practices and applicable law.
9. Your choices and rights
Depending on your location and applicable law, you may be entitled to request access to personal information we hold about you, request corrections, request deletion, withdraw consent for certain processing, or raise a privacy complaint.
To make a request, use the contact details in section 12. We may need to verify your identity before responding. We will handle requests in accordance with applicable law.
You can manage camera, microphone, photo-library, location and notification permissions in your device settings. You can also opt out of non-essential marketing communications where applicable; service and security messages may still be sent.
10. Children
TradeSage is designed for business use and is not intended for children to create their own accounts. If you believe a child has provided personal information to us inappropriately, contact us so we can review the situation and take appropriate action.
11. Changes to this policy
We may update this policy as our product, providers or legal obligations change. We will publish the updated version on our website and revise the “Last updated” date. Where required, we will provide additional notice or seek consent for material changes.
